Executive Assistant to the CEO Must be on site - Not Hybrid or Remote What You Must Have: - A minimum of 3 years previous experience working directly for CEO or owner
- Acquisitions and/or mergers experience a plus.
- Exceptional written and verbal communication, organizational and time management skills.
- Impeccable judgment as it relates to confidentiality.
- Comfortable maintaining work and social calendar for high-level executive.
- Superior technical, proofreading, spelling, grammar, and punctuation skills.
- Ability to interact in a professional and courteous manner with a diverse population, including office personnel, vendors, and other professional contacts.
- Demonstrates strong work ethic and exceptional problem-solving skills.
- Thrives in a fast-paced and dynamic workplace.
- Detail oriented, efficient, organized, and self-motivated.
- Proficient with Quicken and Microsoft Office Tools (Word, Excel, and Outlook) a must.
- Ability to work independently, exercise good judgment and discretion in the performance of all duties.
- Valid Notary Public commission or capable and willing to become a Notary Public
What You Will Do: - Manage calendar for the CEO, including calculating and tracking deadlines and setting reminders.
- Schedule, coordinate meetings, appointments, travel arrangements and expense report submission for CEO and other C-suite executives.
- Maintain budget, track expenses, be responsible for payment of personal expenses, oversee insurance coverage on a variety of assets.
- Work with paralegal to maintain corporate annual reports, registered agent status, and provide general legal assistance to General Counsel as needed.
- Maintain records for personal aircraft, including invoices, flights, scheduling, and coordination between CEO and charter company.
- Support others on Executive Leadership team as needed.
- Maintain confidentiality and professionalism at all times.
- Handle a variety of projects and reports as needed.
- Prepare and modify documents including correspondence, reports, drafts, and emails.
- Provide reliable proofreading of correspondence and reports in draft and final form.
- Resolve administrative problems and inquiries.
- Prepare written responses to routine inquiries.
- Provide backup to front office reception desk as necessary.
- Conduct all business activities in a professional and ethical manner.
- Performance of other duties as assigned.
