General Summary: The Administrative Assistant II for the Admissions & Recruitment Department provides office management and oversight to the department. The position is responsible for the administrative functions of the department including, but not limited to, responding to prospective student inquiries in person, via phone or through email, data entry and reconciliation using various student information systems and reporting tools and the distribution of recruitment information.
Duties and Responsibilities:
- Procure and sustain Admissions recruitment materials and supplies.
- Respond to admission office inquiries via incoming phone calls and walk in traffic.
- Responsible for answering admissions general email and supporting additional admissions inboxes.
- Provide admission information to prospective students, the internal College community, as well as educational, community and business and industry organizations.
- Respond to student problems and requests, resolving issues concerning admission, enrollment, retention, withdrawal, and transfer procedures where possible, referring inquiries to other appropriate personnel as necessary.
- Work as a part of an Enrollment Services team to provide excellent enrollment services to students.
- Use available technology such as SCT Banner admissions modules, ARGOS reports and HelioCampus reports, and the Target X CRM to retrieve information related to admissions and enrollment services.
- Maintain knowledge of academic curricular programs and in-depth knowledge of the admissions processes relating to selective programs.
- Assist parents of students and explain the rights and procedures with regards to the Family Education Rights and Privacy Act.
- Register new and visiting students for credit courses, verifying appropriate prerequisites.
- Coordinate dissemination of admission and recruitment information for recruitment events, admission requirements to the internal college community and the public which includes high schools, businesses and agencies.
- Utilizes the Target X CRM and Banner to input prospective student data, new student applicant information and to schedule student appointments
- Maintain accurate budget records and process purchase orders for the department and division as needed.
- Process and scan incoming high school, college transcripts, dual enrollment applications and registration forms, and other admission related documents
- Assist with the collection and data entry of eligible programs in the Mass Training Pro system.
- Assist with event and appointment creation and tracking in the Target X CRM.
- Participate in admissions outreach initiatives, phone, email or text campaigns.
- Supervise and train work study students.
Job Requirements: - Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, or (B) any equivalent combination of the required experience and the substitutions below.
- An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the required experience.*
- An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.*
- *Education toward any such degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.
- Ability to operate a personal computer and use word processing
- Ability to maintain accurate records, including the ability to enter data into electronic forms and/or software programs.
- Ability to assemble items of information in accordance with established procedures.
- Ability to follow written and oral instructions.
- Ability to establish and maintain harmonious working relationships with others.
- Ability to communicate effectively in oral and written expression.
- Ability to deal tactfully with others and exercise sound judgment.
- Experience with equity-minded work and/or understanding of individuals of diverse identities such as race, ethnicity, socioeconomic level, sexual orientation, veterans, and individuals with different academic preparation levels and varying physical and learning abilities.
Preferred Qualifications:
- Bilingual skills a plus.
- Experience with spreadsheet and database software packages
- Skill in keyboarding at a minimum rate of 40 words per minute.
- Ability to work accurately with names, numbers, codes and/or symbols
- Ability to file material in accordance with standard filing procedures.
- Ability to work independently, demonstrate initiative and follow through on projects
Additional Information: Salary Range: $57,223.70 is the starting salary for a Grade 17 position at Step 1. Actual salary commensurate with academic background and experience. Location: Bedford campus with occasional travel to Lowell as needed
Hours: 37.5 per week. This position will be eligible for a maximum of two days of telework in accordance with the College's telework policy .
