A family-run commercial construction company is looking for an Administrative Assistant to join their team on Shelter Island, NY. They are a well-established commercial construction company located on Shelter Island, known for delivering high-quality projects with a focus on precision and efficiency. They are seeking a motivated and organized Administrative Assistant to help manage the administrative tasks in the office Monday through Friday. This role is ideal for someone who thrives in a fast-paced environment and is looking to grow with a company long-term.
Position Overview:
Key Responsibilities:
- Project Support: Assist with various aspects of project work, including handling submittals, Requests for Information (RFIs), and submitting change orders.
- Communication: Manage company email, answer phones, and coordinate with clients, vendors, and internal team members.
- Calendar Management: Organize and maintain schedules, ensuring that meetings, appointments, and deadlines are met.
- Documentation: Typing and preparing documents, keeping track of important files, and maintaining organized records.
- Organization: Ensure all office activities are running smoothly, and that all administrative tasks are completed efficiently and accurately.
- Experience in the construction industry is preferred.
- Comfortable with "old school" software systems; must have strong typing skills.
- Excellent organizational and multitasking abilities.
- Strong verbal and written communication skills.
- Ability to work independently with minimal supervision.
- Green, motivated candidate who requires minimal training who's looking to stay with the company long-term
