Job Description

A family-run commercial construction company is looking for an Administrative Assistant to join their team on Shelter Island, NY. They are a well-established commercial construction company located on Shelter Island, known for delivering high-quality projects with a focus on precision and efficiency. They are seeking a motivated and organized Administrative Assistant to help manage the administrative tasks in the office Monday through Friday. This role is ideal for someone who thrives in a fast-paced environment and is looking to grow with a company long-term.

 

Position Overview:
The Administrative Assistant will play a crucial role in supporting the office and the project management team. The ideal candidate will have experience in the construction industry (preferred), possess strong organizational skills, and be proficient with basic office software. This position requires a high level of attention to detail and the ability to manage multiple tasks simultaneously.

 

Key Responsibilities:

- Project Support: Assist with various aspects of project work, including handling submittals, Requests for Information (RFIs), and submitting change orders.
- Communication: Manage company email, answer phones, and coordinate with clients, vendors, and internal team members.
- Calendar Management: Organize and maintain schedules, ensuring that meetings, appointments, and deadlines are met.
- Documentation: Typing and preparing documents, keeping track of important files, and maintaining organized records.
- Organization: Ensure all office activities are running smoothly, and that all administrative tasks are completed efficiently and accurately.

Qualifications:

- Experience in the construction industry is preferred.
- Comfortable with "old school" software systems; must have strong typing skills.
- Excellent organizational and multitasking abilities.
- Strong verbal and written communication skills.
- Ability to work independently with minimal supervision.
- Green, motivated candidate who requires minimal training who's looking to stay with the company long-term

 

Interview Process:
The interview process will begin with a phone or FaceTime interview, followed by an in-person meeting with the company's leadership team, including the owner and his father.

 

**Note:** We have someone currently in this role who will be leaving, so we're looking to fill this position as soon as possible.
