The Weapons Mission Services (WMS-DO) is seeking a highly skilled Administrative Assistant WMS-3 (Programmatic Mission Support Services) to directly support this team. The Administrative Assistant 3 will report directly to the WMS-3 Group Leader, with daily interactions and support provided to the First Line Managers (FLMs) within the group. The selected individual will perform day-to-day administrative services for the assigned customer and be a dedicated expert in applying the various requirements and drivers that must be adhered to. The chosen candidate will have the responsibility to execute work that supports important administrative deliverables while always setting the standards for utmost professional behavior and integrity in the workplace.
Successful candidate will be required to:
- Perform a wide variety of administrative functions with a high degree of initiative, requiring independent judgement in some cases.
- Ability to follow the direction of senior administrators/professional staff assistants and be a team player at all times.
- Perform a wide range of administrative duties but not limited to timekeeping; visitor/student/new hire support; data entry and tracking; electronic records management; meeting scheduling/logistics; calendar management for managers and conference rooms; domestic travel arrangements/reimbursements; procurement; and researching policies and procedures to complete routine and non-routine requests.
What You Need Minimum Job Requirements: Administrative Support: Advanced-level experience providing high-level administrative support in a busy office environment requiring complex calendar management, domestic and foreign travel, procurement, meeting scheduling/logistics, visitor processing, accurate data entry and tracking, and time keeping. Experience with solving problems, developing and implementing solutions, and innovating business practices to ensure customer satisfaction at all levels.
Knowledge and Expertise: Advanced knowledge and experience conducting general office management duties in a busy, fast-paced office environment. Experience managing electronic calendars and the ability to coordinate and arrange meetings, high-level visits, tours, conferences, employee gatherings, and/or travel. Advanced Knowledge of computer software applications (Word, Excel, Outlook, PowerPoint, etc.).
Performance: Demonstrated ability to organize, prioritize, and follow-through to completion on multiple tasks, often under strict deadlines, frequent interruptions, and changing priorities.
Accountability: Experience working with confidential or proprietary information, classified documents or sensitive information, including PII training records. Strong understanding of safety and security requirements to individual responsibility and as applicable to training activities.
Communication and Customer Service: Experience working independently and in a team environment, including interacting with all levels of internal and external customers. Proficient in the preparation and formatting of correspondence, reports, and/or presentations. Excellent oral, written, and interpersonal skills, including proofreading, grammar, spelling, punctuation, accuracy, and attention to detail.
Leadership: Demonstrated mentoring and teaming skills.
Education/Experience: a High School Diploma and three years related experience, or an equivalent combination of education and experience directly related to the occupation.
Work Schedule: The chosen candidate is expected to be 100% on-site.
Desired Qualifications: - Working knowledge of Lab-wide administrative systems (e.g., Oracle Time and Labor, Concur, and iProcurement,) and computer software applications (e.g., Word, Excel, Outlook, PowerPoint, SharePoint).
- Advanced experience in calendar management and self-initiation on projects/tasks.
- Active Q clearance or the ability to obtain a Q clearance.
Work Location: The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.
Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Additional Details Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.
Clearance: Q (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.
- Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.
New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.
Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.
Internal Applicants: Regular appointment employees who have served the required period of continuous service in their current position are eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the required period of continuous service, they may only apply for Laboratory jobs with the documented approval of their Division Leader.
